How do you transfer a CAD or BIM project folder?
A DWG, RVT, IFC, or NWC file rarely tells the whole story. Xrefs, linked models, fonts, plot styles, textures, point clouds, and issue notes must arrive with the main model. Package the project first, then transfer the complete folder while both teams are online.
Use the authoring tool’s transmit or archive function when available, open the packaged copy on a separate workstation, and resolve missing links. Add a version note, then choose the complete project folder in 8ma Quick Transfer so its relative structure is preserved.
Collect every linked resource
- Include the main model, linked models, DWG Xrefs, images, textures, and point-cloud references required for review.
- Include CTB or STB plot styles, custom fonts, shared parameters, and families only when the recipient is allowed to use them.
- Add coordination exports such as IFC or NWC and identify which file is authoritative.
- Remove credentials, personal data, superseded exports, temporary files, and proprietary libraries outside the delivery scope.
Package before you send
Use tools such as AutoCAD eTransmit or the relevant Revit archive and detach workflow when they match the project. The exact steps vary by software and collaboration setup, so test the packaged copy without relying on your original network paths.
Write a handoff note
- Record the project number, issue purpose, revision, coordinate system, units, and software version.
- List the main model and any files intentionally omitted.
- State whether models are detached, workshared, linked, or exported for reference only.
- Ask the receiver to compare the file count and open the main model before the handoff is closed.
Folder limits and long-term records
Desktop Chrome and Edge can send folders containing up to 20,000 files, while an individual file can be up to 200 GB. Use a common data environment or document-management system when the project needs approvals, revision history, permissions, or a permanent record. Direct transfer is for the handoff itself, not project governance.
